How to verify emails before exporting a lead list
Finding an email on a website and checking its status are different steps. Before moving a business list to CSV or Instantly, review where each address came from, what verification returned and whether the company fits your offer. This guide covers the checks to make in the Prospectario workflow.
Start with the source, not with sending
Check that the address appears on the website of the business you are researching. An email belonging to an outside vendor, a sample or another branch may not be the contact you need. Prospectario retains the source page of website contacts: use it to understand the address's relationship to the company.
If the site only publishes a contact form or phone number, keep that information without guessing an email from a person's name. A record without an email can still be a researched business, but it is not ready for an email campaign.
What each verification status means
Prospectario can use your Reoon account to check mailboxes. The result describes the check available at that moment; it does not measure whether someone wants your offer. Use the statuses to decide what to review and what to exclude before exporting.
| Status | How to handle it |
|---|---|
| Valid | Can move to a source and fit review. It does not mean guaranteed delivery or permission to contact. |
| Risky | Review the reason returned by the provider. Do not treat it as valid by default. |
| Invalid | Exclude it from the list before exporting or preparing a campaign. |
| Unknown | There is no conclusive result. Investigate the cause or check again later before using it. |
Verification reduces uncertainty, not every bounce
A mailbox can change after a check. Delivery also depends on sender configuration, account reputation and recipient filtering. That is why you should not promise zero bounces or use a valid status as your only sending decision.
If you checked addresses long before using them, consider whether the information is still current. Keep mailbox status, business fit and the conditions under which you can contact someone separate. These are different decisions.
Review these fields before exporting
- Business and domain: check that they belong to the same company.
- Email and source URL: keep a source you can revisit.
- Verification result: review risky and unknown results as well as invalid ones.
- Personalization fields: check them against the website and remove unsupported statements.
- Duplicates and exclusions: check existing contacts and do-not-contact records.
- Destination: confirm the Instantly campaign or CSV column mapping with a sample.
Separate exporting from sending
Prospectario prepares leads and hands them off to an Instantly campaign or a CSV file. It does not send emails. Before activating a campaign in your sending tool, review the message, variables and recipients as part of your sales process.
The do-not-contact list holds exclusions that should be respected in later searches. Review opt-outs and existing records before adding new contacts. Finding a published address does not replace the assessment of whether you can use it for your intended outreach.
Assess preparation costs and outcomes
Reoon is an optional integration that uses your own account. Costs and limits belong to the provider. If your workflow requires verified contacts, configure that step before treating a list as ready to export; do not assume finding an address verifies it.
Measure how many records pass source, fit and status checks. A smaller list with clear context may be more useful than a large export of questionable data. Then monitor bounces and replies in your sending tool to improve your preparation process.
